Role: Purchase Executive
Location: Powai, Mumbai

Role Purpose:
This individual is responsible for the acquisition of goods needed by the company, ensuring they meet quality standards, budget constraints, and are delivered on time. They act as a bridge between internal departments, vessels/clients, and vendors throughout the purchasing process. Purchasing Responsibilities:
? Reviewing Requisitions:
o Analyze requests for materials from ships/clients and internal departments.
? Vendor Management:
o Interact with approved vendors for quotes and purchase orders.
o Conduct preliminary checks on new vendor qualifications.
o Ensure effective communication with vendors, clients, and internal departments.
? Quotation Process:
o Invite quotes from various vendors.
o Update ship's PMS with received quotes for approval.
o Obtain department head approval for internal requisitions (most economical
vendor).

? Purchase Order Management:
o Raise purchase orders to approved vendors.
o Track purchase order progress and ensure on-time delivery.
? Invoice Processing:
o Validate and scrutinize vendor and client/department documents.
o Scrutinize invoices before presenting them for payment approval.
? Database Management:
o Update PMS database with vendor approvals, requisitions, purchase orders,
invoices, and product information.
? Documentation and Compliance’s:
o Ensure proper documentation and filing of all relevant papers.
o Maintain an organized filing system.
o Adhere to instructions for environmentally sensitive purchases.

Knowledge & Experience

? Should have general knowledge about these sectors such as Parts, Spares & Stores.
? 3 years’ experience in any well-known organization (maritime preferred), or 5 years from any relevant field.

Skills & Education
? Marine Logistics & Procurement skills are preferred.
? Strong negotiation skills are essential for this role to secure the best possible prices from vendors.
? Bachelor’s degree in engineering is required, with a strong preference for Mechanical Engineering.
